How calls are handled
For anyone who's called a business that uses HowliteWorks, and for businesses thinking about it.

What callers hear
At the start of every call, the receptionist says it's an automated assistant for the business you've called, and that the call is recorded so your details can be passed on accurately. If you'd rather speak to a person, just say so. It will take your details for a call back, or transfer you if the business has set that up.
What it collects
Usually your name, phone number, postcode or address, what you need help with, how urgent it is and when suits you. It collects only what the business has asked it to.
Where your details go
A summary of the call goes to the business you called, by text and email. If they take bookings, an appointment may be added to their calendar. The business decides what happens next. We don't sell your information or use it for anything else.
Recordings and transcripts
Calls are recorded and transcribed so the summary is accurate. Recordings are deleted after 90 days by default, or sooner if the business asks. Transcripts and lead details are kept while the business uses our service, then deleted or returned to them within 30 days of their contract ending.
Texts after a missed call
If your call to the business is missed, you may get a text from that business asking how they can help. It's only about your enquiry. Reply STOP and you won't get any more.
Who's responsible for your information
The business you called is responsible for your information (the controller). HowliteWorks handles it on their behalf (the processor), under a written data processing agreement. The calls run on these providers:
- Twilio: phone calls and texts
- Vapi: the voice assistant platform
- OpenAI: the language model, used through Vapi
- Soniox: speech-to-text, used through Vapi
- ElevenLabs: the assistant's voice, used through Vapi
- HighLevel: lead management and messaging
Where it's available, we use Vapi's EU region for call data. Some providers are based in the United States, and transfers are protected as described in our privacy notice.
Asking for your details to be deleted, or making a complaint
Contact the business you called. If you can't reach them, email us at howliteworksltd@gmail.com and we'll pass your request or complaint to them straight away.
